# Getting Started for Admins: Request, Approve and Activate Cards

## Issue virtual and physical cards, set limits and share cards with volunteers

### Request a card

From the Menu (Click Back to Portal if you're in Settings: Go to **Cards** and click **Request a card** in the upper right. Then choose:

- **Cardholder:** who the card is for.
- **Nickname:** helps you find the card in your list, for example "Amazon" or "Youth Retreat." Nicknames do not print on the card.
- **Card type:** **Virtual** works as soon as it is approved, for online purchases or a mobile wallet. **Physical** is mailed to you and arrives in about 10 business days.
- **Limit type:** **Monthly** resets each month, allowing you to control each user's monthly spend. **Reloadable** is a fixed amount for the life of the card, useful for a trip or event budget, however, the limit can be updated later by an admin.
- **Limit amount:** the most the card can spend in that period.

Optional settings while requesting a card:

- **Card controls:** limit the card to certain merchant types or schedules.
- **Default accounting:** automatically assign a vendor or an expense account to every charge on the card. It can still be changed on each charge.
- **Card policy settings:** override your company policies for this card, for example turning auto-locking on or off.

### Approve a card

- Cards issued in primary admin's **name** are approved automatically.
- Cards for **anyone else** wait for the Card Creation Approver's approval. Approvers get an email, and a badge appears on **Approvals** in the left menu.

### Activate a physical card

When a physical card arrives, go to **Cards**, open the card, and enter the **card number** and **security code** to activate it. A physical card only works online after it has been activated. A user can hold both a virtual and a physical card.

### Change a card's limit

Open the card, click **Card actions** in the upper right, and choose **Update monthly limit** (or edit the card).

### Share a card with someone who isn't a user

For a volunteer or one-time purchaser, open a virtual card, click **Card actions**, then **Share**, and enter their email. They get a temporary dashboard where they can see the card details, add it to Apple Pay or Google Pay, and upload their receipt.

### Why use more than one card?

- **Security:** give each vendor its own card with a limit that matches the bill, so a compromised card cannot be used for more.
- **Control:** turn off one vendor's card without updating payment details everywhere else.
- **Budgets:** give a person a fixed amount for a specific purpose.
- **Accounting:** tie a card to a default expense account, for example a software subscription card that always codes to your technology account.
