Physical and Virtual Card Creation Guide

This guide provides explanations to the settings and options available for customizing your card at creation

Section One: Card Settings

Requested for: This is the person whose name the card will be in.

Nickname: Select a nickname for the card which will help you easily identify it. 

Type of Card

  • Virtual cards are a convenient option that is immediately available for use in Apple Pay and Google Wallet at the point of sale. KleerCard highly recommends using virtual cards for online vendors whenever possible. One of the great features of virtual cards is that you can choose your own expiration dates, ranging from 1 week to four years. Additionally, virtual cards can be shared with individuals outside of your organization.
  • A physical card is a traditional plastic card that can be added to your mobile wallets for added convenience. Unlike virtual cards, physical cards do not have the sharing feature available and do not offer the option for custom expiration dates.

Type of Limit

  • a monthly limit allows charges up to the amount you choose each month. On the first of each month the card limit resets to the amount you set. 
  • a reloadable limit is set upon its creation and will deplete as charges are incurred until the balance is zero. An admin on the account will need to add additional funds in order for the card to be used after the funds are depleted.

Reason for Requesting gives the requestor an opportunity to communicate with their approver what the purpose of the request is for.

Amount being requested per month: This is the amount that will set either your monthly limit or reloadable limit.

Section Two: Card Controls

Card controls give the company admin a way to control where and how your company cards are used.

Require address verification: This option is only available for virtual cards and is on by default. We recommend you turn this off if you are requesting a card for Meta (Instagram or Facebook). This feature allows you to make purchases without needing to verify the zip code.

This is a Fuel Card: This control will only allow the card to be used at fuel pumps.

Restrict card to a specific merchant: When enabled the card will only be able to be used at the merchant ID number entered. What is a merchant ID number? A merchant ID number—commonly called a merchant number or MID—is a 15-digit numerical identifier used to facilitate credit and debit card payments for businesses.

MCC Groups are a great way to limit transactions to certain types of merchants. You can choose multiple groups to build a card that meets your needs.

Set controls by day and time allows you to set a schedule by week day and hours for when the card can be used.

Section Three: Automatically assign your expense accounts

If desired, you have the option to assign your funds, departments, expense accounts, and other relevant information from your chart of accounts to all charges made on this card. If necessary, these assignments can be changed at the transaction level.

Section Four: Receipt Management Policies

You can override your policies at the card level.

If you prefer not to receive auto-generated receipts for your transactions on this card and instead want to manually upload all receipts, you can enable "Disable auto-generated receipt for charges less than $75". This will ensure that no automatic receipts are created for transactions made with this specific card.

If you want to create a card that doesn't prompt you to upload receipts for transactions at all, you can enable the "Disable push notifications" option for this card. This is particularly useful for recurring monthly charges that remain the same and don't require receipts to be uploaded on a monthly basis.

Section Five: Review

This provides you with an opportunity to review the selected settings for your card before placing an order. It's important to note that once the card is requested, you won't be able to change the recipient, mailing address, card type, monthly limit type, or disable the address verification requirement. Therefore, please review these settings carefully before submitting your request.

After the card has been requested, it will be processed according to the approval settings of the person it was requested for. This means that the card will either be sent to the approver of the designated person or ordered immediately if their self-approval limit allows for it.
