How to integrate Quickbooks Online with KleerCard

Integrate KleerCard with your Quickbooks Online account in a few easy steps

Please make sure to add a "KleerCard" Credit Card account to your QuickBooks Online Chart of Accounts before connecting to your QuickBooks Online account. To do this, go to the Transactions section in QuickBooks Online, select Chart of Accounts, click the New button in the top right corner, and then enter the information to create the credit card account.

After adding the Credit Card account to your QuickBooks Online chart of accounts, please follow these steps:

Step 1: Set up your QuickBooks Online Integration by going to Settings, and in the Integrations section choose Accounting Integrations.

Step 2: Choose QuickBooks Online from the drop-down.

Step 3: Default your QuickBook Online Accounts by assigning the Credit Card drop-down to be the KleerCard credit card account that you have created in QuickBooks Online. You can skip the Accounts Payable and Bank Account drop-downs if you are not a BillPay customer. If you are a BillPay customer, these will be set during your BillPay set-up meeting.

4. Vendors: To import your Charges into QuickBooks Online with a payee set, choose how this is handled.  If you choose to import your vendors into KleerCard via sync, then you will have the ability to assign the vendor in your charge details, and this assigned vendor will be the payee in QuickBooks Online. If no vendor is assigned at the charge level, the default vendor will then be synced instead. If left blank, then the charge will sync with no payee. The VISA merchant's name will be included in the memo.
5. Sync Accounts from QuickBooks Online: If this is a new integration, proceed by choosing sync accounts. This will import your expense accounts into your Chart of Accounts. This will allow you to apply the accounts to your charges in the charge detail view and in your phone app. You can further update which accounts your team can see in the dropdown by navigating to Settings, and Chart of Accounts. If there is a message to resolve vendor mapping, then you will need to map the current KleerCard accounts to QuickBooks Online accounts to avoid duplication upon sync.

6. Import Categories from QuickBooks Online

  • First, go into your general Settings, and choose Settings beneath accounting to update your segments' tracking status and names.
    • For Classes: Click into the Segment 3 row, select to track this segment, and rename it to "Classes". Save your changes.
    • For Locations: Click into the Segment 4 row, select to track the segment, and rename it to "Locations". Save your changes.

Return to the general Settings view, and in the Integrations section choose Accounting Integrations. Scroll back down to step 5, and toggle the Classes switch on. This will give you the option to sync your classes if there are any in QuickBooks Online that are not imported into KleerCard.
